12. Student Administration and Support

This section contains information on how the college manages the administration and progression of their students from admission to course completion, including student support services.  


Course information


Course information is available in the College Prospectus, Programme Guides and Fact Sheets.  A paper copy of information is available upon request from Customer Services.


Admissions


All learners who enrol at Carnegie College must go through the Admissions process.  Information on how to obtain a prospectus, attend an open day, visit the College and apply for admissions is available on the website, on marketing literature and from Customer Services staff.

Information on general / course-specific entry requirements is available on marketing literature and fact sheets.  Individual advice is available from Customer Services staff.

Policies and procedures for dealing with applications, including those covering the assessment of external qualifications is available in our registration guide, NQ activity calendar and advisor checklists.


Fees and charges


Information on the College’s tuition fees (for home / EU and overseas learners) and any other costs to learners, information on when payment must be made, how payments can be made, and whether instalment options are available can be requested on an individual basis from Customer Services staff.  Welcome letters are sent to all part-time learners, which advise of fee and charges arrangements.

Registration


The College’s arrangements for registering learners are outlined in the registration guide and enrolment schedules.


Assessments


Information on examination periods and timetables, assessment and examination procedures (including oral examinations), assessment and examination regulations, including policies and practices on breaches of regulations can be located in the following documents:

Progression


Regulations governing learner progression and access to courses are available in the Procedures for Continuing Students.  If a learner fails an exam or assessment, re-sit examinations are made available.  Details of these arrangements are given to learners by their tutor.

Early Enrolment of Students Continuing to the second or subsequent year of their course

Registration folders will be issued to guidance tutors via the customer service staff based in the academic schools in May of each year. The registration folders will contain:

  • Guidance Notes
  • List of Students
  • Pre-printed enrolment forms
  • College Terms and Conditions
  • Matriculation Cards

It is the responsibility of the guidance tutor to ensure students check information shown on the pre-printed enrolment forms, amend info where necessary and sign and date the forms. It is also the responsibility of the tutor to issue matriculation cards and return completed forms and form/matriculation cards for those students who were not present in the registration folder by the agreed date. Guidance tutors must ensure that any students who were absent at this time are directed to the registration room as and when they return to college.

Important Note: Students who are being sponsored by an employer must provide a letter of confirmation prior to commencing their course (excluding Modern Apprentices). Failure to do this will result in the student being invoiced.



Learning support services


The School for Communities and Learner Development offers comprehensive support (academic and personal) for all learners over the full range of core skills.  The School also provides support for learners with specific learning and employability difficulties and physical and sensory impairments.

Student liaison


The Student President is invited to attend meetings of the Board of Management, Student and Staff Affairs Committee, Health and Safety Committee and Diversity Forum.  In addition, learners are invited to attend Programme Team meetings, the Learning, Teaching and Assessment Group, Student Recruitment and Induction Group, Academic Quality Committee and Academic Council.


Student welfare


The College has a range of welfare and advice services available to learners.  The Guidance team provides drop in access for all learners.  Advice can be provided on bursaries, Educational Maintenance Allowances (EMAs), student loans, allowances, additional funding, housing and childcare.

The College has links with local agencies (including housing agencies), where individual advice can be sought.

Health services


The Central Guidance team offers support to learners on an individual basis and can make referrals to external support agencies as appropriate.  The Student President can offer some basic advisory services in sexual health issues.  Further information is available upon request from the Access Centre.

Careers services


Careers Scotland staff are available at the Halbeath campus on a weekly basis, at the Rosyth campus and at the Cowdenbeath campus on request.  Bookings can be made through the Guidance team.



Sports and recreational facilities

Sports and recreational activities are promoted by the Student President, who can provide further information upon request.



Student records


Personal information about learners is stored securely, and is processed strictly in accordance with the Data Protection Act requirements

Learner files are stored, retained and destroyed in terms of the Carnegie College Document Retention Policy.

Data is provided to the Scottish Qualifications Authority, Scottish Funding Council and other bodies with statutory rights for data by submitting electronic returns.

Student discipline


To ensure learner disciplinary matters are dealt with consistently and fairly, Carnegie College has in place a Student Disciplinary Procedure.  A fact sheet is available on the student intranet, which gives details of what will happen should a learner face disciplinary action, representation rights and rights of appeal.  (Learner Disciplinary fact sheet)


Student accommodation


Carnegie College does not provide any leased learner accommodation.  Learners who require accommodation will be put in touch with Fife Open Door, a Fife Council service.  Details can be obtained from the Guidance team.

Graduation arrangements


One formal awards ceremony and one formal graduation ceremony are held each year in June and September.  Learners receive written invitations to these ceremonies.  In addition, dates are published on the Carnegie College website and are published in the Student Handbook.  Academic dress information and costs are sent out with invitation letters and photographic facilities.

In addition a number of Celebrating Success Events are held throughout the year.  The process is as above re invitations / website.


Student complaints


To ensure that all complaints raised in relation to Carnegie College are treated fairly and consistently, a Student Complaints Procedure is available.  A factsheet is given on the student intranet.  Complaints fact sheet .

Relationship with the Students Union/ Association


All Carnegie College learners are members of the Students’ Association.  Each year, a Student President is elected by learners.  The Student President acts as a representative of all learners, and attends meetings of the Board of Management, the Student and Staff Affairs Committee, Health and Safety Committee and the Diversity Forum.  In addition, each class is entitled to elect a student representative, who will attend all meetings of the Student Representative Council, which are led by the Student President.  The Student’s Association also elects Executive Committee members to represent the Students’ Association.  Further details are given in the Students’ Association Constitution, which is available on the Student Intranet.  (Students’ Association Constitution

The Student Representative Council arranges social events for learners, gives support to learners with complaints or disciplinary events, organises events and provides information on welfare issues.  Each year, a small budget is made available to the Student Representative Council by the College, which can be used to organise Students’ Association activity.


Students Union/Association and clubs


Information on the operation and activities of the Students’ Association and other student clubs is available from the Student President.  General information about the Student Representative Council can also be found in the College website.
